The Office of the City Secretary is open to provide you with all public
information. To obtain a request form for Public Information you

City Secretary Mission
and Responsibilities
The mission of the City Secretary
Division is to record all actions of City Council, guarantee the
authenticity of all official documents and provide for their safekeeping
and retrieval, administer City elections and the City’s Records
Management Program, provide public information by personal contact and
through media sources.
The City Secretary is an officer of the City, appointed by and
responsible to the Mayor and City Council, and is charged with attending
and accurately recording the minutes of all regular and special meetings
of the City Council. The City Secretary is the custodian of all official
records of the City, and is the Records Management Officer. As Records
Management Officer, the City Secretary administers the City’s records
management program with procedures developed for creating and filing
active records, storing inactive records, imaging, purging, and
preserving records.
The City Secretary has custodial authority for all City records and
provides support to all departments and divisions in records management
procedures. The City Secretary receives requests for public information,
and appropriate records are provided to requesting agencies and
individuals. The City Secretary holds and maintains the City Seal,
affixing it to all instruments requiring such seal.
All City elections are administered by the City Secretary, which
includes the preparation and publication of all official notices and
orders, preparations for election officials and polling places, and the
receipt and filing of all candidate forms and reports. The City
Secretary also serves as early voting clerk.
The licensing and processing of alcoholic beverage licenses and
solicitor permits are administered by the City Secretary, and complaints
are processed as received.
The City Secretary also maintains the history of the City of El Cenizo,
receives and secures sealed bids, serves as Public Information Officer
during emergency events, and organizes special events and recognition
ceremonies as directed by Mayor and Council.
